Typically, certain documents required by one group would be inappropriate for other groups. Rather than manage many small knowledge bases, it is more effective to manage a consolidated knowledge base and apply access control to certain documents. These access controls are part of the customer or user profile. A knowledge record can be given a security level. Also, all users and customers that use the system can also be given a security levels. If a user is not approved for the security level of a knowledge record, it will not be returned as part of any search. Sensitive knowledge records can be limited to a select group of people. For example, the Administrator can set-up three security levels for knowledge records. If a knowledge record is assigned a security level of "Company Confidential", then only a user or a customer that also has in their profile a "Company Confidential" security level can access that information via any search.
The following is the detail tab of a user profile. This is where a security level can be selected for each user or customer that you allow access to Giva eKnowledgeManager.
